Hands sorting a pile of documents and manila folders on a desk, the manual filing that Doc-Trak's AI document processing replaces

Stop hand-sorting scanned packets: Doc-Trak now files them with AI

If you scan vendor or job packets, you know the routine. A stack of mixed documents (certificates, packing slips, invoices) goes into the scanner and comes back as one long PDF with a meaningless name. Then someone opens every page, reads off the serial or PO number, renames it, and attaches it to the right record by hand. On a big packet that's the better part of a half hour. And the certificates often never make it down to the serial-number level, which is exactly where traceability needs to live.

Starting this week, that changes. Doc-Trak AI Document Processing adds a new "Match with AI" button right inside the Mass Scanning module you already have.

Drop in the scanned packet, choose your saving rule, and click Match with AI. Doc-Trak reads each page, pulls the identifiers within the document to match to your records in SyteLine (CSI). Everything it matches is marked and ready; anything it can't confidently place stays put for you to review. Nothing is filed silently. Click Commit, and every document lands on the right record: certificates at the serial level, packing slips and invoices on the purchase order, QC reports to the job, all filed through the same saving rules you already use.

The payoff is immediate. What took around 30 minutes a packet now takes under five, and certificates finally attach at the serial-number level, so your traceability is intact. And because it runs on your existing saving rules, there's nothing new to build. It works the day you turn it on.

It's also built to be trustworthy. You use your own AI model, Doc-Trak sends a page to the AI only when you click, validates every result against your real records before anything is filed, and leaves anything uncertain in your hands to review. Your files and SyteLine data stay where they are.

Doc-Trak AI Document Processing is available with 2026 Service Pack 2. Want to see it on your own documents? Contact us to see the demo.
